▶︎ What will you do:
• Support executive leadership in developing and executing strategic programs, initiatives, and organizational activities.
• Develop, implement, and manage programs aligned with the organization’s mission and objectives.
• Plan and manage major annual events, including program design, speaker coordination, content development, logistics, budgeting, and execution.
• Collaborate with committees, board members, community partners, and external stakeholders to ensure successful program delivery.
• Coordinate internal tasks, priorities, schedules, and accountability to support efficient daily operations.
• Assist with office operations, administrative functions, and workflow improvements.
• Manage membership communications, inquiries, announcements, and engagement activities.
• Track and analyze program data, participation trends, and stakeholder engagement to support continuous improvement.
• Support bilingual communications and prepare communication materials as needed.
• Maintain and improve digital platforms, event management tools, and operational systems.
• Prepare reports, presentations, meeting materials, and other documents for leadership and committees.
• Support leadership meetings, including scheduling, logistics coordination, and communication management.
• Assist with external relations activities and represent the organization when needed.
• Perform other duties and special projects as assigned.
▶︎ Required Qualifications & Skills:
• Bachelor’s degree required.
• 2–5 years of relevant experience in program management, operations, event management, administration, or a related field.
• Strong verbal and written communication skills in both Japanese and English.
• Excellent organizational skills with the ability to manage multiple projects, priorities, and deadlines.
• Ability to work independently, manage ambiguity, and adapt to changing priorities.
• Strong interpersonal skills with the ability to collaborate with internal teams, committees, leadership, and external stakeholders.
• Proficiency in Microsoft Office applications and digital communication or collaboration tools.
• Experience with event planning, community engagement, nonprofit organizations, or business associations preferred.
• Ability to work in an office/hybrid environment with regular in-office attendance.
• Flexibility to work occasional evenings or weekends for events and organizational activities.
• Ability to travel occasionally as needed.
• Ability to perform routine physical tasks, including bending, reaching, and lifting items up to 20 lbs.
