General Position Summary

The Human Resource Assistant Manager will assist in leading and directing the routine functions of the Human Resources (HR) department including hiring staff, administering pay, benefits, and leave, and enforcing company policies and practices.

Essential Job Functions

Human Resources Management and Administration

▪ Records and files employee information such as personal data, compensation, benefits, tax data, attendance, performance reviews, disciplinary actions, and termination date and reason.

▪ Processes employment applications and assists management in other employment activities, such as recruiting, interviewing, and conducting background checks.

▪ Updates employee files to document personnel actions and to provide information for payroll and other uses.

▪ Examines employee files to answer inquiries and provides information to authorized persons.

▪ Conducts new employee orientation.

▪ Responds to employees’ inquiries regarding policies, procedures, and programs.

▪ Administers benefits programs such as life, health, dental and disability insurances, vacation, sick leave and

leave of absence.

▪ Reviews and updates employee handbook and company policies to ensure compliance.

▪ Prepares memoranda, forms and documentations.

▪ Investigates accidents and prepares reports for insurance carrier.

▪ Advises management on the issues related to human resources, such as interviewing, hiring, terminations, promotions, performance review, disciplinary actions, safety, and sexual harassment.

▪ Works with outside consultants to advise management in appropriate resolution of employee relations issues.

▪ Maintains knowledge of legal requirements and government reporting regulations affecting human resources

functions and ensures policies, procedures, and reporting are in compliance.

▪ Keeps track of employees’ I-9 expiration dates to advise management to coordinate with an attorney to file a petition for employees’ work permits.

▪ Provides assistance in general affairs functions.

▪ Implements and manages the Company’s human resources systems by creating necessary materials including HR calendar, documentations and guidebooks

▪ Conducts an annual employee satisfaction/engagement survey, analyzes the results to understand where the Company is at, what the attitudes of employees are, and how productivity can be improved through better people management

▪ Proposes short-term and long-term improvement plans from the employee engagement survey analysis to executive management.

▪ Provides support and guidance to HR generalists, management, and other staff when complex,

specialized, and sensitive questions and issues arise; may be required to administer and execute

routine tasks in delicate circumstances such as providing reasonable accommodations, investigating

allegations of wrongdoing, and terminations.

▪ Manages the talent acquisition process, which may include recruitment, interviewing, and hiring

of qualified job applicants, particularly for managerial, exempt, and professional roles; collaborates

with departmental managers to understand skills and competencies required for openings.

▪ Analyzes trends in compensation and benefits; researches and proposes competitive base and

incentive pay programs to ensure the organization attracts and retains top talent.Page 2 of 3

▪ Partners with the leadership team to understand and execute the organizations human resource and talent strategy particularly as it relates to current and future talent needs, recruiting, retention, and succession planning.

▪ Creates learning and development programs and initiatives that provide internal development

opportunities for employees.

▪ Oversees employee disciplinary meetings, terminations, and investigations.

▪ Maintains compliance with federal, state, and local employment laws and regulations, and

recommended best practices; reviews policies and practices to maintain compliance.

▪ Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human

resources, talent management, and employment law.

▪ Performs other duties as assigned.

Payroll

▪ Collects Payroll records from each restaurant manager for weekly and bi-weekly payroll.

▪ Assists in overseeing payroll is accurately processed.

▪ Reviews wages computed and corrects errors to ensure accuracy of payroll.

▪ Accurately inputs payroll data such as employee information, hours worked, tips earned, time off requests, employee status change, and deductions to the payroll system and timely transfers the data to the payroll company.

▪ Records and updates data concerning personnel actions as well as information affecting employee’s net wages on master payroll records.

▪ Prepares manual checks as necessary.

▪ Distributes paychecks and W-2s.

Administration

▪ Greets, directs guests and serves water if necessary.

▪ Answers, directs telephone calls and takes or transfers messages as necessary.

▪ Routes incoming and outgoing mail to internal and outside staff.

▪ Composes routine correspondence and creates reports or presentations.

▪ Makes copies of correspondence or other documents.

▪ Arranges travel, transportation and hotel reservations for personnel and corporate guests when necessary with careful considerations to minimizing costs.

▪ Orders and maintains office and shipping supplies.

▪ Runs errands for company when necessary.

▪ Provides assistance in benefit administration, such as processing health insurance enrollment, terminations and requests.

▪ Assists in answering inquiries from executive management, investors and auditors in Japan.

Risk Management

▪ Assist in implementing risk management policy and procedures.

▪ Schedules restaurant inspections with insurance agent.

▪ Communicates with appropriate persons to make improvements on risk management issues.

▪ Assists in works with third party to update employee safety manual and conduct safety training.

Other & Miscellaneous

▪ Seeks constant improvement, more efficient and less expensive ways and means in work processes.

▪ Performs special projects and other miscellaneous duties as assigned by management

▪ Maintains high ethical standards in the work place.

▪ Reports all irregular issues and problems to management for solution.

▪ Maintains good communication with supervisors, office staff members and outside contacts.

▪ Complies with all company policies and procedures.

▪ Responsible for maintaining a clean and safe working area.

Qualifications

Education & Work Experience

▪ Bachelor’s Degree in Human Resources Management or in a related area from four year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

▪ Three to five years of previous experience in a similar position.
